Job Vacancy: Quality Assurance and Safety Department Assistant

Location: Glasgow, UK

Key requirements (qualifications and skills):

● Higher standard of education or experience within the marine industry. Seagoing experience in an Officer’s position is strongly preferred.

● Experience and understanding in the use of Microsoft Office suits: Microsoft Word, Excel, PowerPoint.

● A basic level of familiarity with ISM, ISPS Codes and MARPOL Convention is strongly preferred.

In 1 year from starting you will be trained to do the following jobs:

● In collaboration with the operations department in a tight time frame; draft and issue fleet bulletins describing any significant incidents, findings, and forthcoming regulations based on advisories issued by our governing bodies (Flag Administrations, Class Societies, OCIMF, ILO, etc.)

● Update / revise the company’s written procedures, forms, and risk assessments to make the language simple and clear to our colleagues whose first language is not English.

● Preparation of QA department reports,

● Each quarter analyse findings raised during external inspections, internal audits, incidents and create a report highlighting any trends and focus areas,

● Arrange necessary agreements and documents required for compliance with the US regulations,

● Be part of the emergency response team during contingencies,

● Carry out fire safety checks in the office,

● Assist with the preparation of ship-shore exercises, and crew seminars,

● Maintain training records of the office staff,

● Prepare ship-specific manuals from a template for verification by class, flag and address any issues highlighted by them during approval.

Key Performance Objectives:

1. Communication is critical for success.

● In our job we need to understand how to apply various industry requirements. In reality, it may be more difficult than what is described in the documentation. It means that you will need to be able to call and speak with regulators, suppliers, and ship staff to explain what concerns we have and get practical advice about what can be done.

● In this job you will be delivering training sessions, presentations at seminars, and carry out safety meetings.

● You will need to practice closed loop communication – job received - confirm; job done - confirm.

2. In this work there are always more projects than can be done in a day. You need to be able to choose the right priority, work on several projects concurrently, and organise yourself to not forget to take care of other tasks when time becomes available.

3. Writing – QA assistants produce various written outputs: summaries of meetings, drill reports, bulletins, written procedures, and emails. What you write must be clear to over 1000 of our seafarers and shore staff of various nationalities. After reading your work everyone must have a common understanding of what is required.

4. Analytical thinking and attention to detail – you will be dealing with various reports generated from our databases. Quite often there will be errors. You need to have a critical eye for this and be able to amend the input data to make reports accurate. You need to learn our systems to know how to find this data and how it can be cross-checked.

5. Auditing is a big part of the job. When you will do the audit you will see that different people have various ways of complying with the requirements. You will need to be able to judge if their way is ticking the box. For this, you will need to have an understanding of what is required for various departments.

6. Many tasks that you will be involved in have been done many times before. You need to be able to refer to previous records relating to these tasks to repeat the same and make it better.

7. When we revise procedures we are trying to make them as least labour intensive as possible. For this, we use Excel and expect you to have a basic understanding of creating formulas.

Other information:

Unless there is an emergency we work 0900 – 1700 Monday to Friday. 20 days of statutory leave plus bank holidays. The company provides a group personal pension, private health care and life assurance.
